Products

Everything customers can order: cow milk, buffalo milk, curd, paneer... The rate is the price per unit including GST; a customer's own rate is set in Custom Pricing. Switched-off products cannot be ordered, but past orders and bills keep them.

Customer Pricing

Every customer pays the standard price unless you set their own rate. A new rate applies to milk not yet dispatched; delivered milk and bills keep the rate it was sent at.

Orders & Dispatch

One order per customer per day. Customers order in the app until the cut-off time the evening before (Billing → Dairy Settings). After that, enter or change orders here.

Add / Change an Order

For customers who call the dairy. Works any time before dispatch, even after the customers' cut-off. Quantity 0 cancels that day's order.

Dispatch to Delivery Boys

Orders go to the delivery boys automatically at -- on the delivery day (change it in Billing → Dairy Settings). Customers get a "sent for delivery" notice. Orders added later go out within a minute.

Customer Claims

Milk spoiled, short or not delivered, reported by customers with photos. Verify against the delivery photo and signature, then approve or reject. Approved litres are deducted from the bill, or refunded separately.

Transport Cost per Litre

Enter the total transport cost of each day (all vehicles, drivers and fuel together). Cost per litre = that day's cost ÷ milk delivered to all customers that day. 15-day and monthly figures add up the days.

Customer Profitability

Revenue (net sales, same as the Sales Register) − milk cost (litres delivered × cost price) − transport (each route's fixed cost for the day, shared by litres delivered) = margin. Claimed milk still cost the dairy, so claims lower the margin.

Cost prices: —
What one unit of each product costs the dairy. Used only for profit, never on bills. Delivered orders keep the cost of their day.

Sales Register

Product-wise list of every customer's rate, quantity and total. Counts milk actually sold, the same way as the bills: delivered milk only, less approved claims.
